Make the member and payment handoff explicit.

A feature match does not establish migration readiness. Give one person ownership of the cutover checklist and confirm the source vendor’s export process before cancelling anything.

  1. 1. Inventory the records. Members, active memberships, credit balances, future bookings, waivers, notes and historical purchases may use different exports and import paths.
  2. 2. Reconcile what members own. Compare active contracts, credits, holds and renewal dates before and after a test import. Record exceptions and who resolves them.
  3. 3. Confirm cards and renewals separately. Saved-card and autopay continuity depend on processor migration. Agree on the handling of failed transfers and any member action required.
  4. 4. Rehearse the class day. Validate room capacity, booking rules, waitlists, check-in, staff permissions and instructor briefings before moving live bookings.
  5. 5. Approve a cutover plan. Specify the final export, freeze window, member communication, payment readiness, exception owner and fallback plan in writing.

Should I replace Mindbody or Momence to use ClassFlow?

Can saved cards and autopay move to a new system?

Saved-card and autopay continuity depends on the available processor migration path. A member CSV alone does not transfer payment tokens. Confirm who coordinates the processors, which memberships require member action and how renewals are handled before choosing a cutover date.

What should I ask before choosing AI studio software?

Ask which records the AI uses, whether recommendations explain their sources, what happens with missing data, who can access member information, and which actions require review. Demonstrate a draft, an approval and an audit trail using test records. A generated recommendation is not proof that a message, schedule change or charge is authorized.
