Privacy Policy

1. Scope and roles

This policy explains how ClassFlow LLC ("ClassFlow," "we," "us," or "our") handles personal information through our public website, subscriber and staff accounts, support channels, and studio-management services (the "Services").

ClassFlow acts in two different roles. We decide how to use information from our own website visitors, business contacts, and subscriber administrators. For information a studio collects about its prospects, members, guests, or staff, the studio decides what to collect and why; ClassFlow processes that Customer Data to provide the Services under the studio's instructions.

A studio's privacy notice should describe that studio's practices. This ClassFlow policy does not replace it. If your request concerns information held for a studio, contact the studio first and we will assist it as required by our agreement and applicable law.

2. Information we handle

When you interact directly with ClassFlow, we may receive:

  • business and contact details you provide;
  • account, authentication, subscription, and transaction records;
  • support requests and other communications; and
  • device, browser, IP address, page, referral, cookie, and service-usage information generated when you use our website or Services.

Customer Data may include information that studios and their users enter or generate through configured features, such as accounts, forms, schedules, bookings, purchases, attendance, and communications. The studio controls which features it uses and what information it requests.

Payment-card information is handled by the payment provider identified at checkout. ClassFlow may retain limited transaction records, but does not store full payment-card numbers or card security codes in its application database.

3. How we use information

ClassFlow uses information as reasonably necessary to:

  • provide, maintain, support, and secure the Services;
  • authenticate users and administer subscriber accounts;
  • process and document transactions;
  • respond to requests and communicate about the Services;
  • understand and improve service performance and usability;
  • prevent fraud, abuse, and security incidents; and
  • comply with law and enforce our agreements.

We process Customer Data to provide the Services to the relevant studio, follow its instructions, secure the Services, and meet applicable legal obligations.

4. Disclosures and optional integrations

ClassFlow may disclose information to service providers supporting functions such as infrastructure, authentication, payment processing, communications, support, analytics, and security; when directed by the relevant customer or user; in connection with a business transaction; or when reasonably necessary to comply with law, protect rights, or secure the Services. Current subprocessor information is available on reasonable request.

ClassFlow does not sell Customer Data or share Customer Data for cross-context behavioral advertising. Optional advertising or measurement integrations that a studio configures operate at that studio's direction.

Separately, our public marketing website uses non-essential analytics and advertising measurement after the required choice is recorded. Global Privacy Control is treated as an opt-out signal. These website practices do not apply advertising tools to studio member records inside the ClassFlow application.

5. Retention and security

Retention depends on the information, the relevant customer relationship, and operational, contractual, accounting, fraud-prevention, backup, and legal requirements. Customer Data is retained and deleted under the applicable agreement and studio instructions, subject to those requirements.

ClassFlow uses administrative, technical, and organizational safeguards designed to protect the information we handle. No online service or storage method can guarantee complete security. See our Security and Data Protection page for a high-level overview and procurement-documentation requests.

6. Rights and choices

Depending on where you live and our role, you may have rights to request access, correction, deletion, or a copy of personal information, or to opt out of certain processing. We may verify your identity and may retain information when permitted or required by law.

For information ClassFlow controls directly, email info@classflow.studio. For Customer Data, submit the request to the studio that collected the information. You may unsubscribe from ClassFlow marketing email using the link in the message.

7. Children and international processing

ClassFlow is not directed to children acting as independent account holders. Studios may use configured Services for activities involving minors and are responsible for the permissions and notices required for their collection.

Information may be processed in the United States and other locations where ClassFlow or its service providers operate, subject to the applicable agreement and legal requirements.

8. Changes and contact

We may update this policy as our Services or legal obligations change. We will post the revised policy with an updated date and provide additional notice when required.
